How to add dispatchers and drivers into the team

Invite dispatchers to your team, add drivers by email or invite code, and understand what each role can do.

Your iDirect team is made up of two kinds of people: dispatchers, who plan and assign work from the web dashboard, and drivers, who receive routes in the Driver App. Both are added from the People section of the dashboard.

Roles and what they can do

Administrator — full access, including billing, team settings, and member management.

Dispatcher — can create tasks, optimize and publish routes, and manage drivers, orders, and customers.

Dispatcher (Read-only) — can view everything but cannot invite people, edit drivers, or publish routes. Useful for customer service staff or stakeholders who only need visibility.

Driver — receives assigned routes in the Driver App. Drivers do not have access to the web dashboard.

Only Administrators and full Dispatchers can send invitations.

Invite a dispatcher

In the left sidebar, go to People > Dispatchers.

Click Invite a member.

Enter the person's email address and choose a role: Administrator, Dispatcher, or Dispatcher (Read-only).

Click Invite.

The new member appears in the list with a Pending label until they accept the invitation email and finish setting up their account. Once they join, you can change their role at any time from the Role column, or remove them from the team. Removing a member revokes their access immediately but does not delete the tasks or routes they created.

Invite a driver by email

Use this method when you already know the driver's email address and want their profile filled in ahead of time.

Go to People > Drivers and click Invite.

Stay on the Email Invite tab.

Fill in:

Email — the address the invitation is sent to. A check mark confirms the address is available; a red icon means it is already in use or already a member of your team.

Display Name — how the driver appears in dispatch and tracking views.

Plate Number — optional, but it makes drivers easier to identify on the dispatch board.

Tags — optional labels such as Full-time, Cold Chain, or City Delivery. Type a tag and press Enter to add it. Tags are handy for filtering drivers when you assign a task.

Click Send Invitation.

The driver shows as Pending Accept until they sign in to the Driver App with that email.

Invite drivers with an invite code

Use this method when you are onboarding several drivers at once, or when you do not want to collect email addresses yourself.

Go to People > Drivers > Invite and open the Invite Code tab.

Copy the code and share it with your drivers. They enter it in the Driver App to request to join your team.

Turn on Drivers joining via code require approval if you want a dispatcher to confirm each request. These drivers show as Pending Approval in the driver list until someone approves them.

Use Regenerate Code if the code has been shared too widely. The old code stops working immediately, so anyone who has not used it yet will need the new one.

Manage drivers after they join

Open People > Drivers to see everyone in one list. You can filter by member status — Active, Pending, Rejected, Deactivated, or Restricted — and search by name, email, or plate number.

Click a driver to open their detail page, where you can see their live location, current status (Online, Offline, or On Task), and location history. Use Edit to update the display name, phone, plate number, tags, and vehicle capacity. Email addresses cannot be changed after an account is created.

To pause someone temporarily, set their status to Inactive instead of deleting them. Deleting a driver cannot be undone.

What drivers do next

Drivers install the iDirect Driver App and sign in with the email you invited, or join with the invite code. After that they appear as Online in your driver list, and any route you publish reaches their phone with stop order, navigation, and proof-of-delivery steps included.

Common questions

The driver declined the invitation by mistake. Declined invitations enter a short cooldown. Open Invite Settings > Drivers in Cooldown on the invite screen and click Unfreeze to let them try again right away.

The invitation never arrived. Ask the driver to check their spam folder, then open the driver's record and use Resend Invitation.

I cannot see the Invite button. Your account is probably a Dispatcher (Read-only). Ask an Administrator to change your role under People > Dispatchers.
